Custom packages are created by Wifestyle for events other than weddings. Whether you’re planning a Bar Mitzvah or Bat Mitzvah, corporate holiday party, elaborate birthday bash, golden anniversary, sweet 16, or the grand opening of a new business, Wifestyle will create a celebration that is sensational for everybody and enjoyable for you.

Pre-wedding

  • One meeting to discuss budget and make an assessment
  • Provide vendor referrals based on client’s budget and personal style
  • One meeting for ceremony and reception site visit to determine set-up details
  • Contact all vendors to inform them of Wifestyle assistance and involvement
  • Obtain copies of all vendor contracts
  • Wrap up meeting (30 days prior) to develop ceremony and reception timelines and event details
  • Confirm with all vendors and venues
  • Detailed development of itinerary to be distributed to all necessary parties
  • Meet with the Bride and family one week prior to wedding to discuss family information, pew seating, processional and recessional
  • At that meeting, collect all personal wedding items such as, guest book and pen, portrait, toasting glasses, favors, programs and other printed material, and anything else for the ceremony and reception
  • At that meeting, collect any outstanding fees to be paid to vendors, as well as tips to be distributed
  • Attend rehearsal; coordinate (in absence of on-site church coordinator) handle marriage license and church fees

Wedding Day coordination (9 hrs.) to include management/supervision of ceremony and reception set-up, event management and follow through:

  • Manage timeline
  • Assist with vendor set-up at ceremony and reception venues
  • Payment of vendor balances
  • Assist with coordination of transportation of out of town guest
  • Assist bride and bridal party in dressing room prior to ceremony
  • Organization and distribution of all personal flowers (corsages, boutonnieres)
  • Coordination and timing of ushers, attendants, family, and bride and groom
  • Bustle brides dress and arrange refreshments upon arrival to reception
  • Coordination of entertainment and all announcements and events throughout reception
  • Coordination of bride and grooms exit
  • Collect all personal items (cake topper, guest book, cake knife, etc.) at end of evening
  • Return all personal items to designated person the following day

Includes coordinator and assistant (additional staff if necessary, TBD at consultation)

Pre-wedding

  • Unlimited meetings, phone calls, and e-mails to plan and evaluate all details and ideas
  • Creation and management of projected and actual budget
  • Creation of event planning timeline
  • Monthly (scheduled) meetings to maintain planning schedule
  • Assistance finding appropriate locations for rehearsal dinner, ceremony, and reception
  • Introduction and assistance with procuring wedding and event vendors based on clients personal
    style, requirements, and budget
  • Assistance with event design and implementation of concepts
  • Develop ideas and coordinate favors for guest
  • Assist with design and production of all custom printed or otherwise personalized items, such as; save the dates, invitation ensemble, escort cards, place cards, menus, favors, wedding programs, hotel welcome bags, and itineraries
  • Ceremony and reception site tours to discuss layout and floor plan
  • Management of all rentals
  • Design meetings with rental and floral designers
  • Attend food tasting and assist with menu design
  • Attend cake tasting and assist with cake design
  • Wrap up meeting (30 days prior) to finalize all details to determine timelines
  • Development of complete wedding day timeline
  • Schedule dress fittings and attend final fitting to learn dress bustle
  • Schedule bridal portrait and assist with delivery of gown
  • Order bouquet for portrait and arrange delivery
  • Determine transportation needs and hotel accommodations for out of town guest
  • Determine availability and negotiate rate for room blocks
  • Schedule limousines, shuttle buses, and sedans as needed
  • Confirm with all vendors and distribute timeline prior to wedding
  • Deliver welcome bags to hotel

Meet with bride and family one week prior.

  • Finalize pew seating, processional and recessional, and any family details that I may need to know
  • Collect all personal items for ceremony and reception (guest book and pen, favors, toasting glasses, knife/server, any printed material, and ring box)
  • Collect all outstanding payments owed to vendors, as well as tips and instructions on distribution

Wedding Day coordination

  • Management and supervision of ceremony and reception set-up, set-up assistant, and event management and follow through
  • Payment of vendor balances and tips distributed as requested
  • Manage transportation of out of town guest
  • Assist bride and bridal party in dressing room prior to ceremony

  • Coordination and timing of ushers, attendants, family, and bride and groom
  • Bustle brides dress and arrange refreshments upon arrival at reception
  • Coordination of entertainment and all announcements and events throughout reception

  • Collect all personal items (cake topper, guest book, etc.) at end of evening
  • Return all personal items to designated person the following day

  • Introduction and assistance with procuring vendors based on personal requirements, style, and budget.
  • Scheduling engagement photo.
  • Assistance with writing engagement announcement.
  • Deliver engagement announcement and photo to specified newspapers.
  • Make all necessary arrangements for engagement party to include, assistance with choice of invitations, the mailing of invitations, arrangement of venue, caterer, floral, entertainment, rentals, and photographer.
  • Assistance with design and implementation of concepts for all events.
  • Develop ideas and coordinate favors for guest.
  • Assist with design and production of all custom printed or otherwise personalized items and materials for wedding weekend events, to include; guest weekend itineraries, hotel welcome bags, favors, save the dates, invitation ensemble, escort cards, place cards, menus, etc.
  • Management of all rentals.
  • Procurement of or assistance with all attendants and groomsmen gifts, parent’s gifts, and any additional special recognition gifts.
  • Venue site visits to discuss layout and floor plan.
  • Design meetings with rental and floral designers,
  • Attend food tasting and assist with menu design.
  • Attend cake tasting and assist with cake design.
  • Manage guest list and all RSVP’s (guest list provided by client in alphabetical order)
  • Schedule dress fittings and attend final fitting to learn dress bustle.
  • Schedule bridal portrait.
  • Arrange for delivery of dress to location of portrait.
  • Order bouquet and arrange delivery for portrait.
  • Determine transportation needs and schedule limousines, shuttle buses, and sedans as needed
  • Determine hotel accommodation needs and negotiate rate for room blocks.
  • Ongoing phone calls, meetings, and emails to all vendors as necessary to plan.
  • Wrap up meeting 45 days prior to wedding weekend to finalize all details.
  • Create wedding weekend timeline and distribute to all necessary parties at appropriate time, highlighting portions that pertain to them.
  • Confirm with all vendors and venues, and distribute timeline accordingly.
  • Assembly and delivery of welcome bags to hotel.
  • Meeting with bride and family 10 days prior to wedding weekend to determine pew seating, processional and recessional, and any family details that I may need to know.
  • At meeting, collect all personal items for ceremony and reception, outstanding payments to vendors, tips along with instructions on distribution.
  • Attend rehearsal, coordinate ceremony (in absence of onsite coordinator) handle marriage license and church fees.

Wedding day coordination

  • Management of wedding day timeline
  • Management and supervision of assistants, ceremony and reception set up, and vendors.
  • Payment of all vendors and tip distributed as requested.
  • Arrange to have bride and groom’s hotel room cleaned after they’ve left for ceremony. Request turn down service, champagne delivered at appointed time.
  • Arrange refreshments for bride and groom, bridal party, and family throughout the day.
  • Handle any special request needed.
  • Assist with transportation of out of town guest.
  • Organization and distribution of all personal flowers.
  • Assist bride and bridal party in dressing room prior to ceremony.
  • Coordination and timing of ushers, attendants, families, and bride and groom.
  • Transport all personal items to reception.
  • Bustle brides dress and arrange refreshments upon arrival at reception.
  • Coordination of all entertainment and announcements throughout reception.
  • Coordination of events throughout reception.
  • Arrange for box of food to be delivered to bride and grooms hotel room during reception.
  • Coordinate bride and groom’s exit.
  • Collect all personal items at end of event.
  • Personally collect all gifts and deliver to specified person the following day, unless otherwise stated.
  • Arrange to have floral arrangements used at reception sent to the following rooms at hotel:
    Bride/Groom’s, parents of bride, parents of groom, any other specified person.
  • Arrange to have any remaining floral delivered to brunch location.

The following day

  • Arrive at brunch location 1 hour prior to oversee set up.
  • Collect all tuxedos and return to rental location.
  • Return all personal items to designated person.
  • Deliver all gifts to designated person.

Post wedding

  • Assist with writing wedding announcement, and delivering announcement with photo to specified
    newspapers.
  • Assist with procurement and shipping of thank you gifts to special people involved.
  • Assist with thank you cards, if needed.
